Hand-drawn shared customer record connecting calls, policies, calendars, reporting, and review.

A shorter take from The Onyx Operator, our newsletter for insurance agency owners and leaders.

Building a CRM screen has become easier. Keeping the customer record dependable for years is still hard.

Some agencies on Onyx have built their own dashboards with our APIs and AI connector. They created the view they wanted. They kept the shared record underneath.

That distinction matters. A dashboard displays the business. The record has to remember it.

One customer, one working history

Calls, appointments, policy updates, follow-up, and quality reviews all add to the same relationship. If each team keeps a separate version, someone eventually has to reconcile them.

A useful CRM preserves the history and gives the right people access to it. The agent should be able to see what happened after the sale. The back office should be able to see what was promised on the call. A manager should be able to trace the outcome without assembling the story from several spreadsheets.

Onyx's Custom Views and custom field groups give teams different ways to work with that shared record. Underwriting and retention can organize the information they need without creating another disconnected copy of the customer.

The test for an agency owner is simple: when someone asks about a policy, can the team find the answer on the record, or does a person have to go reconstruct it?

The value sits in years of useful history, consistent workflows, and information your team can trust. You can change the screen. Rebuilding the record is a much larger job.
